5. Logistics Services
5.1 On-site Transportation of Materials
The freight forwarder and official contractor involved in the relevant activities must maintain close contact with the hotel regarding on-site arrangements, material handling equipment, aerial equipment, on-site storage facilities, and transportation management.
1. At all times, the loading and unloading area must be free of any obstructions.
2. All doors, fire exits, and freight elevators must be kept clear and unobstructed at all times, with a two-meter distance reserved as a safety buffer zone.
3. Materials and equipment must not block main passageways at any time.
4. All staff must wear reflective vests while transporting materials within the event venue.
5. The official contractor must closely monitor the special regulations and load capacities of the event venue. Any exhibition items with special shapes or heavy weights must be notified to the hotel at least 5 days before the first day of event setup.
6. The transportation schedule must be provided to the hotel in advance to ensure that parking spaces in the loading and unloading area are reserved.
5.2 Carpet Area Work
The carpeted areas within the Hotel must be carefully protected to prevent damage.
When working on carpeted areas, the official contractor must place soft padding and plywood over the carpet before moving goods and material handling equipment.
If the official contractor damages the carpeted areas, the official contractor shall be responsible for the carpet repair costs. If the official contractor refuses to pay for the carpet repair, the contract signatory shall be responsible for the payment.
5.3 Material handling equipment and aerial equipment
The Hotel has a wide range of material handling equipment and aerial equipment available for rent by organizers and official contractors.
1. For equipment rental services, please refer to the Service Order Form.
2. External material handling equipment shall not be used within the Hotel, including but not limited to the loading/unloading bay driveway, loading/unloading bay, meeting rooms, and lobby areas.
3. A set of safety belts is provided with all aerial equipment. The hirer is responsible for the proper use and safekeeping of the safety belts, and for arranging qualified personnel to operate the relevant equipment.
When operating aerial equipment, relevant personnel must wear safety attire. During the equipment rental period, the Hotel shall not be responsible for any personal injury, accident, or equipment damage.
4. Upon return of the relevant equipment, the Hotel will inspect it for damage; if any damage is found, the hirer will be charged for the associated costs.
5.4 On-site Storage Facilities
It is prohibited to store any materials on-site within the hotel. After unloading materials, all packaging materials, crates, and boxes must be removed and stored outside the hotel, and may only be brought back to the hotel on the event dismantling day (teardown day) when repacking materials.
The Hotel will allocate storage space subject to availability and charge the hirer according to the area concerned. When using the relevant facilities, the hirer must comply with the following terms:
1. The Hotel will reserve space for the storage of empty boxes and/or exhibits. It is the hirer's responsibility to transport materials to and from the storage area. The Hotel shall not be responsible for any loss or damage to items within the storage area.
2. No materials shall be stored in the loading/unloading area at any time.
3. For exhibitions held in meeting rooms, no materials shall be stored behind the booths. The freight forwarder should regularly check behind the booths to ensure that no materials are stored there, and should directly provide storage space for exhibitors.
4. The Hotel will dispose of any materials or items left in the event venue after the conclusion of the venue rental, and will charge the relevant organizer or official contractor for the associated costs.
5. Packing or repacking work is not permitted in the venue outside of the rental period; otherwise, meeting room or exhibition hall rental fees will be charged instead of storage fees.
5.5 Restocking of goods during the exhibition period
It is recommended that restocking during the exhibition period not exceed twice per day, with a maximum of one hour each time.
Any special requests regarding the timing or frequency of restocking during the exhibition period should be arranged in advance with the Project Manager at least one week before the first day of the exhibition.
