11. Temporary Structures

11.1 Definitions

"Temporary structures" refer to any temporary demountable structures assembled and installed for events within the Hotel, intended solely for event use, including but not limited to exhibition booths, archways, stages, scaffolding, wooden and fabric structures, and multi-level exhibition racks.

All temporary structures erected and/or installed in the Hotel must comply with the Hotel's regulations, standard industry practices, health and safety guidelines, and government regulations.

When any erection work poses a risk to health and safety, the Hotel reserves the right to stop such work.

11.2 Responsibilities of the Organizer

The organizer must at all times be responsible for the design, construction, dismantling, and structural integrity of all temporary structures at the event venue. The organizer must also submit the relevant safety certificates for the temporary structures to the hotel.

11.3 Independent Structures

1. Regarding any structural design, the organizer and its designated contractors agree to comply with the hotel's safety instructions.

2. All floor plans and designs with dimensions must be submitted to the hotel for approval. The hotel reserves the right to approve or reject the structural setup.

3. At all times, free-standing structures must be safe (i.e., there is no possibility of the structure collapsing).

4. Under any of the following circumstances, the Organizer must submit a surveyor's report (building engineer's certificate) to verify the safety of the structure.

• The height of the structure is equal to or exceeds 4 meters, or the width of the structure is equal to or exceeds 12 meters; or

• After technical assessment by the Hotel, the structure is found to be potentially unsafe.

5. The definition of 4 meters in height is as follows:

• If the structure is erected on the ground, the 4-meter height is calculated from the ground to the top of the structure.

• If the structure may be erected on a stage, the 4-meter height is calculated from the bottom of the stage to the top of the structure (i.e., the combined height of the stage and the structure).

11.4 Structure Installation in the Lobbies of Meeting Rooms and Exhibition Halls

With the approval of the Hotel, the Organizer and its designated contractors may carry out structure installation work in the lobbies of meeting rooms and exhibition halls, and must ensure the cleanliness of such areas at all times.

In accordance with the Hotel's standards, if the aforementioned areas are found to be untidy, the Hotel reserves the right to stop the structure installation work and charge the Organizer and its designated contractors for cleaning costs.

11.5 Flame-Retardant Materials

Temporary structures must be constructed with flame-retardant materials, including but not limited to all wood, wall panels, fabrics, curtains, and light-blocking screens.

All fabrics used for decoration or partitioning must be flame-retardant, comply with BS476 (Part 1), and possess recognized flame-retardant certification. If flame-retardant certification cannot be provided, all fabrics must be treated with an approved type of flame-retardant treatment, carried out by a recognized fire services contractor.

11.6 Damage to the Property

Under no circumstances shall any person drill, cut, screw, or bolt into the floors or walls of the Hotel, nor alter or dismantle any part of the Hotel.

In any part of the Hotel, the Organizer shall not use steel wires, ropes, or other mechanical means to secure the structure of the booth, except for cables and banners suspended from the ceiling.
