7. Audio-Visual and Stage Lighting Services
7.1 Overview
The hotel is able to provide audio-visual, lighting, and production support for different types of events, and can work closely with organizers to develop creative concepts and implement them using the hotel's infrastructure and equipment.
If the organizer engages an audio-visual service contractor for stage design, the organizer must ensure that the contractor strictly complies with hotel regulations, standard industry practices, and government regulations.
7.2 Terms of Use
For the sake of safety and quality, if equipment and audio-visual-related systems used by the organizer cause malfunctions or affect services for other organizers, the hotel reserves the right to disconnect or shut down such equipment or systems without prior notice until the organizer resolves the relevant issues. If the organizer is unable to use part of the services due to the above reasons, the hotel will not make any refund.
If the soundtrack of music, sound, special and artificial sound effects, and images affects other activities, is offensive, or violates the rules of the hotel, the hotel reserves the right to adjust the relevant volume.
7.3 Temporary Changes
If the organizer has any temporary requests, such as temporary changes to the setup of audio-visual services, rearranging or refocusing lighting designs, re-planning lighting schemes, or failing to submit location information and/or floor plans for the booked services before the deadline, the hotel will make every effort to accommodate based on the availability of manpower and equipment at the time.
7.4 Accuracy of Provided Information
To ensure the smooth operation of audio-visual services, the organizer must provide the hotel with the latest event program arrangements before the event.
7.5 Improper Use of Equipment and Systems
If the organizer misuses or improperly operates the audio-visual equipment or systems provided by the hotel, resulting in damage or loss, the organizer will be charged the relevant fees.
7.6 Use of Equipment and Systems
Wall outlet boxes, floor outlet boxes, patch panels, control consoles, projectors, dimmer boards, and any power sockets may only be used with the authorization of hotel staff. If used without authorization, the hotel may disconnect the relevant services without prior notice and may impose fines on the party concerned.
7.7 Audio-Visual Products Brought in for Playback
The organizer must ensure that all audio-visual products brought in, including MDs, CDs, DVDs, VCDs, and computers, can be played and used on the hotel's systems and equipment.
The hotel may, at its discretion, arrange testing of audio-visual services.
7.8 Audio-Visual Service Support Procedures
The hotel will provide general technical support for booked audio-visual services and stage lighting equipment.
After the services requested through the service order form are confirmed, the hotel will provide on-site technical support during the event.
7.9 Noise Control
The maximum allowable noise level for any use or testing of "sound-producing" items within the hotel's event venues or anywhere on the premises is 70dB(A). Any request for exemption must be approved by the hotel.
7.10 Liability
The hotel will be responsible for providing audio-visual services in normal working order. However, the hotel shall not be liable for any loss or damage caused by equipment failure of external contractors.
7.11 Access Permission
Unless approved by the hotel, unauthorized persons are prohibited from entering all audio-visual control rooms or service areas.
